Best white-label CRM for real estate agencies

Agents lose deals to slow replies and forgotten follow-up. Here is what to build for them, which platform to build it on, and the rules to respect.

This page contains affiliate links to HighLevel, Simvoly and DashClicks. Disclosure.

Real estate is one of the most natural niches for a resold CRM. Agents live on leads, most of those leads are not ready to buy for months, and a missed reply can hand the deal to the next agent who answers. If you can give an agent or a small team a system that answers every new lead fast and keeps in touch for as long as it takes, you are selling something they understand immediately.

This guide is for agencies and consultants who want to package a CRM for agents, teams or small brokerages under their own brand. For other industries, see white-label CRM setups by niche.

What real estate agents actually need from a CRM

Agents do not care about the word "CRM." They care about five jobs:

  1. Reply to new leads fast. Portal, ad and website leads arrive at all hours. An instant text and email, plus a call task for the agent, is the core automation.
  2. Nurture for months, not days. Many buyers and sellers are six months or more away. They need a light, regular touch that does not feel like spam.
  3. Book showings and listing appointments without phone tag, with reminders that cut no-shows.
  4. Track deals by stage, separately for buyers and sellers, so nothing stalls between offer and closing.
  5. Stay in touch after closing. Past clients and their friends are where repeat and referral business comes from, so check-ins and review requests matter.

Notice what is not on the list: dozens of dashboards. A tight setup that does these five jobs well is easier to sell and easier to support.

Four platforms compared for a real estate offer

Prices below are from each vendor's own pricing page, checked October 28, 2026. "Fit" is our judgment for a real estate package, not the vendor's claim.

Our pick: HighLevel, on the plan that matches your model

For most agencies selling to agents, we would build on HighLevel. The reasons are specific to this niche:

  • Unlimited contacts and users on every plan (HighLevel pricing). Agents keep big databases of past clients and their sphere, and teams add assistants and buyer's agents. Per-contact or per-seat pricing punishes exactly the growth you want.
  • Texting and calling in the same inbox as email. Speed to lead in real estate is mostly a texting job. Having replies, calls and emails in one thread per contact keeps the agent from losing context.
  • A real estate starting point. HighLevel's pricing FAQ says its snapshot library includes pre-built accounts for industries including real estate. Treat it as a starting point and rebuild the workflows around your own offer.
  • SaaS Mode when you are ready. On the $497 Agency Pro plan, a new agent can pay on your pricing page and get an account with your real estate setup applied automatically (SaaS Configurator). Until you have a repeatable offer, the $297 Unlimited plan with manual onboarding is fine; Agency Pro vs Unlimited explains the trade-off.

Choose Simvoly instead if your offer is mainly listing websites and landing pages, or DashClicks if you plan to sell done-for-you ads alongside the CRM. Our full white-label CRM comparison covers each in more depth.

The real estate setup to build

Build one account the way an ideal client would use it, test every step with your own phone, then save it as your template (a snapshot on HighLevel). A solid first version:

Pipelines

  • Buyers: New lead, Contacted, Appointment set, Showing, Offer made, Under contract, Closed, Long-term nurture.
  • Sellers: New lead, Valuation sent, Listing appointment, Listed, Under contract, Closed, Long-term nurture.

Automations

  1. New lead response. Instant text and email the moment a form or portal lead arrives, a call task for the agent, and a second text if there is no reply within a few hours.
  2. Missed-call text back. Any call the agent misses gets an automatic text so the conversation keeps going.
  3. Short-term follow-up. A two-week sequence of a few texts and emails with useful content, not pressure.
  4. Long-term nurture. A monthly email for contacts who are months away, with an easy way to raise their hand.
  5. Appointment reminders for showings and listing appointments, by text and email.
  6. Under-contract checklist of tasks for the agent so key dates are not missed.
  7. After closing: a review request, a check-in a few months later and a yearly home-anniversary message.

Keep the copy in the agent's voice and let them approve it before anything goes live.

Texting, calling and email rules agents must follow

Real estate marketing runs into consumer protection rules quickly. Build compliance into the setup rather than leaving it to the agent:

  • Do Not Call. Cold calling numbers on the National Do Not Call Registry is restricted. The FTC's guidance says a company may call a consumer for up to 18 months after their last purchase or transaction, and for three months after an inquiry or application, unless the person asks not to be called. Sellers who call must check the registry at least every 31 days (FTC Q&A). Map your nurture timing to those windows.
  • Texting consent and registration. Get clear consent on every form, honor STOP replies, and register for A2P 10DLC. On HighLevel's phone system the one-time registration fee is $22.50 for sole proprietor and low-volume brands, and monthly campaign fees run $1.50 to $10.50 (phone pricing).
  • Email. Every marketing email needs the sender's physical postal address and a working unsubscribe honored within 10 business days (FTC CAN-SPAM guide).

Encourage clients to have their broker or attorney review their scripts; we are not giving legal advice.

How to package and price it for agents

Agents buy outcomes, so name plans after what they get, not the software:

  • Solo agent plan: lead response, missed-call text back, nurture and reviews.
  • Team plan: the same plus lead routing between agents and team reporting. Because HighLevel includes unlimited users, you can price per team rather than per seat.
  • Setup fee for importing the database, connecting the number, registering texting and a training call.
  • Usage policy: say whether texts and calls are included up to a limit or passed through.

Do the arithmetic on your own numbers before you set a price; our guide to pricing a white-label CRM and the profit calculator walk through it. For the selling and onboarding steps, see how to resell a CRM.

Solo agents, teams or brokerages?

  • Solo agents decide fast and need simple setups, but budgets are tight and they churn if they stop prospecting.
  • Teams feel the pain of lost leads most and value routing and accountability. They are often the best first target.
  • Brokerages are bigger deals with longer sales cycles and more demands on branding and data. Approach them once you have a proven setup and a few teams as references.

Frequently asked questions

What is the best white-label CRM for real estate?

For most agencies selling to agents and teams, we pick HighLevel because it includes unlimited contacts and users, keeps texting, calling and email in one inbox, and offers a real estate snapshot to start from. Simvoly suits website-led offers and DashClicks suits agencies bundling ads.

Can I resell a CRM to real estate agents who already use their brokerage's CRM?

Often, yes. Many agents want a system they control and can take with them if they change brokerages. Position yours as their own lead follow-up and nurture system, and check whether they need to keep logging deals in the brokerage tool.

Do I need A2P registration to text real estate leads?

For US business texting from local numbers, yes. Registration has one-time and monthly fees; on HighLevel's phone system they start at a $22.50 one-time fee plus a monthly campaign fee of $1.50 to $10.50.

How long can an agent keep calling an old lead?

Under the FTC's Do Not Call guidance, a company can call a registered number for three months after an inquiry and 18 months after a transaction, unless the person asks it to stop. After that, keep in touch by email with a clear unsubscribe.

Should I charge real estate clients per user?

Usually not. Per-user pricing makes teams ration logins. On platforms with unlimited users, a per-team or per-plan price is simpler and easier to sell.
